Administrative Assistant

You will provide administrative support to the Information Systems department, project managers, the Senior Management team, and the CIO. This includes assisting with expenditure and procurement processes, document control, and scheduling coordination.
­
Key Responsibilities:
Key responsibilities include coordinating the procurement of all hardware, software, and related IT services, often managing high-volume of requests. You will prepare and enter purchase requisitions and change orders, monitor purchase order balances, and ensure accurate and timely processing. You will also coordinate software and hardware maintenance renewals by confirming requirements with Management and Supply Chain, maintaining vendor communication, and reviewing contract terms and renewal dates to avoid service interruptions.
­
In addition, you will maintain accurate records of software licenses and product keys, coordinate software removals for employee terminations, and track and monitor security certificates across all software assets.
­
This role coordinates the invoice workflow within IS, including receiving, distributing, tracking, and validating invoices against supporting documentation such as contracts and timesheets. You will investigate and resolve invoice discrepancies directly with vendors, prepare prepaid forms for Finance as required, re-code departmental P-Card transactions, and obtain necessary managerial approvals.
­
Additional responsibilities include creating and maintaining purchasing approval routes, monitoring contracts and drafting required extension letters, and creating work orders for time management. You will also support departmental operations by scheduling meetings, training sessions, and events; managing document filing for the senior management team and project management team; and proactively identifying opportunities to enhance and streamline administrative processes.

What You’ll Need:
You must have graduated from a recognized post-secondary office administration program or equivalent and have three years experience or equivalent with direct responsibility for maintaining confidentiality. You should have extensive experience with the use of word processing including a high volume of typing, often under tight timeframes. Completion of an Office Administration (Executive) and/or experience working in a finance department is an asset. A combination of comparable education and experience may be considered.
